Rosters and shifts

Rosters turn a week’s staffing needs into visible shifts. You need the Can edit rosters permission to use Rosters and Quick-add Shift.

  1. Open Admin, then Rosters.
  2. Choose a date that matches the organisation’s Roster start date, then select Create roster.
  3. Select Edit beside the roster.
  4. Add each shift using Start Time, End time, Break, Day, Role and an optional note.
  5. Select a shift in the weekly view to edit it or assign a person.
  6. Use the issue indicator to check for unassigned shifts, shifts with no available users, and shifts without cost information.
  7. Return to Rosters and select Publish when the week is ready.

Publishing makes assigned shifts visible to employees. A roster can also be unpublished, edited or deleted; changes to a published roster may alert affected employees.

Use Quick-add Shift when a roster already exists and you only need to add an isolated shift.

  1. Open Admin, then Quick-add Shift.
  2. Set the Start Time, End time, Break, Roster and Day.
  3. Choose a User from the available users and add an optional shift note.
  4. Select Add.

The shift is added to the chosen roster. If the roster is already published, the assigned user is alerted. Ignore availabilities exposes people who may be unavailable or on leave, so use it only after checking the conflict.
