People, invitations and roles
Weekli separates team administration into Invitations, Users and Roles. The links you see depend on your permissions; only administrators can manage roles or grant administrator access.
The people and roles view in the Cafe Juniper demo. Select the image to open it full size.
Invite people
Section titled “Invite people”You need the Can invite users permission.
- Open Admin, then Invitations.
- Select Invite Users.
- Enter one or more email addresses, separated by semicolons.
- Select Invite.
- Check the invitation’s Status and Expiry in the table. Delete an invitation if it should no longer be used.
The invitation appears in the list. After the recipient accepts it and creates their account, they appear under Users.
Assign a user to a role
Section titled “Assign a user to a role”You need Can view user info to see Users. Only an administrator can change a user’s role or administrator access.
- Open Admin, then Users.
- Find the person and select Edit.
- Choose their role.
- If they need every Weekli function, select Admin, then use Click to confirm.
- Close the panel after checking the assignment.
The user’s role is updated. Administrator access is broader than a role’s individual permissions, so grant it only when required.
Create or adjust a role
Section titled “Create or adjust a role”You must be an administrator.
- Open Admin, then Roles.
- Enter a Role name and select Create role, or select Edit Permissions for an existing role.
- Set the role’s hourly rate when cost estimates should include it.
- Turn on only the permissions the role needs: viewing the full roster, editing rosters, posting announcements, inviting users, viewing user information, approving availabilities or approving leave.
- Select Close when the permissions are correct.
The role is available for users and shifts. Deleting a role cannot be undone and can affect assigned users, so review Users before deleting it.
